Records Retention Services

WHY TEXAS ARCHIVES?

State-of-the-art Barcode System
This system is the heart of our records management system. Every box is scanned into the tracking system, which allows Texas Archives to locate a file within seconds. We take all the guess-work out of locating your files.

Media Vault
This specially designed room continually regulates the temperature and humidity within in very tight tolerances. The media vault is ideal for environmentally sensitive materials, such as x-rays, film, analog tape, and digital tape. Mission-critical backup tapes can be rotated out on a daily, weekly, or monthly basis.

Destruction Service
Locking security carts are available to collect confidential trash at your locations. Shredding or recycling disposal methods are available at your option.

Pickup and Delivery Service
Your records are always just a phone call away. Service is available the next day, the same day, or within two hours.

On-Site Work Area
If you prefer, you may review your files from the comfort of our facilities.

Flexibility
Any size record container is stored at the same rate per cubic foot, and charges are calculated by the box, not by the shelf. You can also use your own containers.

Security
Your records are protected by a multi-level fire sprinkler system and a sophisticated alarm system.

Reports
Information in your storage account can be presented to you in several convenient formats. These reports tell you which cartons are scheduled for destruction or which cartons have been checked out and not returned. You can allocate costs between departments, or group related information from different time periods. We also customize reports to meet your individual requirements.

Consultative Services
Texas Archives offers consulting services pertaining to organizing your on-site records storage area or preparing your records for entry into Texas Archives Storage Center. These services include such activities as developing records retention schedules, identifying records due for destruction, re-boxing existing records if needed, inventorying carton contents, preparing transmittal forms and bar-coding cartons.
